California Program Coordinator (COPHRI)

Position Summary

Summary/objective

The California Program Coordinator will support the new and exciting California Harm Reduction Initiative (COPHRI), established by the California Budget Act of 2019, which included substance use disorder response by supporting syringe services programs (SSPs). The CA Program Coordinator will aid the COPHRI team by offering logistical support for planning and executing program activities. This includes gathering, organizing, and distributing data for COPHRI's evaluation efforts. Additionally, the CA Programs Coordinator will provide assistance to other California initiatives and projects, such as note-taking, communication with SSPs, contractors, and community stakeholders, and managing technical assistance and training schedules. Moreover, this role will be pivotal in organizing two gatherings in California as part of the initiative.

Essential Functions

  Program Support

  • Provide administrative support for the COPHRI team, assisting to plan and provide logistics support (i.e. note taking, email communications, data collection, form development)
  • Respond to technical assistance (TA) requests that are low intensity or resource only, and triage any TA requests received to the proper teammate.
  • Provide technical and administrative support for trainers during training sessions and webinars.
  • Coordinate office hours with capacity building managers and COPHRI grantees for emerging topics.
  • Manage all administrative pieces of CASEP, including logistical support for meetings.
  • Manage and administer contract and honorarium process for COPHRI consultants, participants and programs, including preparation of PRFs.
  • Assist in the planning, coordination, and execution of the COPHRI including targeted outreach to Black and Brown communities.
  • Provide logistical support to the COPHRI team in the planning and implementation of programmatic activities, including meetings, events, training, webinars and technical assistance sessions.
  • Co-facilitate training sessions and support evaluation and reporting activities as needed.

     Communication  Support 

  • First point of contact for all requests that come into the organization regarding COPHRI.
  • Manage and triage all email requests for the various programs.
  • Oversee the “Morning Coffee” newsletter by collecting data and distributing it on a weekly basis.
  • Conduct all pre- and post-communications for training and webinars, including sending follow-up resources.
  • Assist with developing content and sharing it with appropriate stakeholders.
  • Coordinate with the communications team on promotion strategies and public-facing graphics and language to ensure consistency with the organization style guide and brand.
  • Collaborate with the COPHRI team to include upcoming events, program features, funding opportunities, and resources.

       Event Coordination

  • Collaborate with contractor and team to support the Encuentro and 2025 CASEP (California Syringe Exchange Program) conference.
  • Provide administrative and logistical support for the 2024 Encuentro and 2025 statewide CASEP Conference, including event programming, registration management, materials development, supply ordering, and managing vendor relationships.
  • Assist in planning virtual training sessions and gatherings, which involves coordinating logistics, managing communications, registering participants, and providing support to CA staff during online events. For in-person events, oversee attendee accommodations and travel arrangements to ensure accessibility for individuals with diverse backgrounds and experiences.
  • Collaborate with other NHRC staff to explore and develop best practices  for conference and event management, with a special focus on centering transparency and inclusion.

Supervisory responsibilities: N/A

Work environment: Remote - must be able to work during the Pacific Time Zone.

Physical demands: Sedentary work. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. Required to have close visual acuity to perform activities such as: preparing and analyzing data and figures; viewing a computer monitor/screen; extensive reading. Sitting, walking, standing, computer use/driving, lifting (25lbs).

Qualifications

 Required education and experience

  • 2+ years of administrative experience
  • Proficient in data collection, entry, and management experience.
  • Highschool diploma or equivalent
  • Advanced knowledge in current technology products that include, Microsoft Suite (e.g.,Word, Excel, PowerPoint), Zoom, Gmail, and Google Suite)
  • Working knowledge of digital communications and project management systems like Asana
  • Logistically-oriented systems-thinker with strong interpersonal skills, excellent written and oral communication skills, and a hands-on solutions-focused team player.
  • Commitment to and understanding of harm reduction principles.

Preferred education and experience: 

  • Event planning
  • Experience using data collection tools such as Jotform and FormAssembly

Travel

Travel required: Position requires approximately 10% travel per year.

Salary

$55,000 - $65,000/ annually
