Operations & HR Coordinator

The Position

National Harm Reduction Coalition is seeking an energetic, detail-oriented self-starter to support operations and human resources initiatives.

 

The ideal candidate is an individual who enjoys being part of a team and can also work well independently. The workflow for this position is fast-paced and requires someone who can effectively prioritize and be responsive to emergent issues. Successful candidates are patient, can communicate clearly, maintain a positive attitude in demanding environments and maintain confidentiality.

Organization Description

National Harm Reduction Coalition is an advocacy and capacity-building organization that promotes the health and dignity of individuals and communities who are affected by drug use and structural violence. As a national organization we advance harm reduction policy and practice through six core programs:

  1. harm reduction policy and advocacy
  2. harm reduction resources including in-person and virtual trainings, self-paced online learning modules, publications, and maps to locate syringe service and naloxone programs
  3. national and regional convenings
  4. grantmaking
  5. fiscal sponsorship
  6. technical assistance on overdose prevention education, hepatitis C prevention and treatment, syringe access expansion, and the US opioid crisis

Our programs center racial equity as guided by our North Star Statement: National Harm Reduction Coalition creates spaces and dialogue that help heal the harms of racialized drug policies.

Responsibilities

Operations Support

  • Reception and coordination of NYC office, including but not limited to: ensuring cleanliness & coordinating with cleaning company, tracking inventory, maintaining inventory and ordering of all office, maintenance, and pantry supplies **
  • Receive, sort, log, and distribute mail daily (weekly during COVID closure)
  • Assist with the maintenance of organization database(s)
  • Answer and forward calls and email to appropriate internal parties
  • Provide support for trainings and meetings, including but not limited to: purchasing food, note taking, space setup, etc.**
  • Liaise with landlords/management agents and vendors (IT, supply, cleaning service, copier, etc.)
  • Ensure, maintain, and audit facilities and IT equipment/inventory for all staff, in-house and remote
  • Conduct basic troubleshooting of facilities and technology issues for all staff, in-house and remote staff
  • Ensure staff are equipped with necessary tools and equipment to perform their duties
  • Submit expenses and invoices for reconciliation
  • Support e-commerce functions and tracking inventory related to online merchandise
  • Set up and manage tabling at various off-site events**

 

**All on-site/in-office and event (tabling, etc.) responsibilities will resume when the physical offices open for business, with the exception of mail which is checked weekly until further notice

 

Human Resource and Administrative Support

  • Provide confidentiality in all HR-related matters
  • Coordinate recruitment/onboarding, termination, and employee status changes
  • Maintain and audit electronic employee files and benefit enrollments
  • Offer administrative support for staff development activities, staff meetings, and other high-attendance NHRC meetings or events; Accurately record and file minutes from staff meetings and team meetings as necessary
  • Project coordination of HR/Operations-related projects
  • Provide general administrative support to NHRC staff, including shipping, scheduling, and material production
  • Act as notary public for the NY office (NHRC will pay for certification)

 

  • Additional duties as assigned

Qualifications

  • Candidate must be reliable, flexible, people-oriented, patient, and demonstrate initiative and responsibility
  • Discretion, diplomacy, and the ability to manage sensitive and confidential information with integrity is necessary
  • Logistically oriented, systems-thinker, with strong interpersonal skills
  • Displayed experience with project management
  • Excellent written and oral communication skills
  • Ability and willingness to be hands-on and creatively solve problems as they arise
  • Detail-oriented with excellent organizational skills and the ability to prioritize tasks effectively and meet deadlines
  • Resourceful and can anticipate needs
  • Very comfortable with technology, able to triage IT issues, and address basic IT support needs
  • Working knowledge of GSuite and Microsoft suite, required
  • Experience with database management and Asana or project management tools, a plus

Travel

Position requires minimal travel (less than 7 days per year).Please note, the organization has frozen all staff travel for the time being, in light of COVID-19.

Salary

$55,000 - $65,000
