Conference Coordinator

Harm Reduction Coalition is a national advocacy and capacity-building organization that works to promote the health and dignity of individuals and communities who are affected by drug use. With offices in New York and California, we advance harm reduction policy and practice through five core programs: 1) harm reduction policy and advocacy; 2) national training and capacity building initiatives; 3) national and regional conferences; 4) publications and resources, and; 5) technical assistance on overdose prevention education, hepatitis C prevention and treatment, syringe access expansion, and the US opioid crisis.

Job Summary

Conference Coordinator provides support to ensure that the National Harm Reduction Conference to build a successful and informative experience for our community. The Conference Coordinator provides critical support for the National Harm Reduction Conference in four key areas: 1) conference promotion, 2) constituent engagement / data entry, 3) onsite event support and troubleshooting, and 4) general administration.  The Conference Coordinator works closely with the National Harm Reduction Conference Director, the Meeting Masters consultant, and Director of Development and Communications to ensure smooth functioning of conference systems and marketing activities.

Key Responsibilities

Conference Promotion

  • Development of online marketing materials in collaboration with graphic designer and conference team
  • Online promotion through multiple platforms including social media, customer relationship management (CRM) system, and conference app
  • Ordering and shipment of printed promotional materials
  • Coordinate all shipments to and from the conference

Constituent Engagement/Data Entry

  • Assist National Conference Director and department consultant with effective communication with conference constituents including attendees, presenters, and exhibitors
  • Assist National Conference Director and department consultant with responding to all conference email and ensure appropriate follow-up
  • Work with department consultant to ensure conference data is transferred between  various platforms
  • Assist in abstract submission process

Onsite Event Support and Troubleshooting

  • Manage onsite information desk
  • Triage questions / issues and ensure timely follow up
  • Schedule daily onsite meeting with staff and volunteers
  • Ensure appropriate placement of conference signage
  • Provide assistance with onsite production activities including setup, implementation, and breakdown
  • Document issues / lessons learned as they arise for future conferences

General Administrative Support

  • Respond to phone and email queries
  • Coordinate travel to conference for agency staff, board, and VIPS
  • Assist logistics company volunteers and scholarship recipient lodging

Travel

Position requires moderate travel (approximately 14 days per year)

Qualifications

People who currently use or have a history of substance use, sex workers, people of color, women, members of the LGBTQIA+ communities, and people living with HIV/AIDS and/or hepatitis C, or people who have experienced housing insecurity are strongly encouraged to apply.

  • Excellent written and verbal communication skills
  • Expert knowledge of MSOffice Suite and Google products
  • Expert knowledge of social media platforms and how to use as tools to promote the conference
  • Excellent multi-tasking skills
  • Background in event planning and support preferred
  • Experience using social media (including Facebook, Instagram, or Twitter)
